Making Reservations

The following guides and demonstrations explain how to make reservations. You can use one or more agencies for your department's travel needs. When non-employees make their own reservations using Connexxus agencies, additional steps are involved (see procedures below for BCD and UCTC).

BCD Travel

  1. The Travel Arranger (i.e., the person in your department that makes the airfare reservations) provides the non-employee traveler with their Traveler ID and the contact information for BCD's full service agents (877-885-8632 option 3). If a traveler ID hasn't yet been created, it can be done with the Non-Employee Traveler Setup.
  2. The Travel Arranger sends their e-mail authorization to UC.Authorizations@bcdtravel.com, informing the agency that the non-employee traveler will contact them directly
    • In the Subject line enter: UCD Arranger Authorization for Guest Last Name / First Name
    • In the body of the e-mail include the traveler’s name and Traveler ID. If someone other than the traveler will call BCD to book the reservation, include that person’s name
  3. The traveler contacts the agency Monday - Friday 7:00am-5:30pm PT and provides the traveler ID and the authorizing travel arranger's name
  4. The agent verifies the Traveler ID and arranger name provided by the caller against the information in the e-mail from the travel arranger and books the trip using the UCD agent references

UC Travel Center (UCTC)

  1. The Travel Arranger (i.e., the person in your department that makes the airfare reservations) provides the non-employee traveler with their Traveler ID and the contact information for UCTC's full service agents (800-235-8252). If a traveler ID hasn't yet been created, it can be done with the Non-Employee Traveler Setup.
  2. The Travel Arranger sends their e-mail authorization to travel@finance.ucla.edu, informing the agency that the non-employee traveler will contact them directly
    • In the Subject line enter: UCD Arranger Authorization for Guest Last Name / First Name
    • In the body of the e-mail include the traveler’s name and Traveler ID. If someone other than the traveler will call UCTC to book the reservation, include that person’s name
  3. The traveler contacts the agency Monday - Friday 8:00am-5:00pm PT and provides the traveler ID and the authorizing travel arranger's name
  4. The agent verifies the Traveler ID and arranger name provided by the caller against the information in the e-mail from the travel arranger and books the trip using the UCD agent references
