Corporate Card Use Guidelines and Best Practices

The following guidelines are intended to assist you in taking full advantage of the benefits offered by MyTravel and the Corporate Card.

General Information

  • MyTravel interfaces with the U.S. Bank Corporate Card to simplify entry of expenses, improve accuracy of reports and streamline payment of approved T&E expenses directly to U.S. Bank.
  • The Corporate Card is to be used for university T&E business purposes only. The card may not be used for personal expenses.
  • All charges made on the card will feed into MyTravel on a daily basis.

  • U.S. Bank VISA convenience checks were discontinued as of June 15, 2006.

Making Corporate Card Payments in Advance of the Trip

  • Travelers can pay their corporate card prior to their trip for any pre-paid charges, such as airfare or registration, by creating a ‘Corporate Card Pre-Trip Payment’ expense report type.
  • By utilizing the imported expenses feature, corporate card transactions can be added to the expense report. Once the expense report is fully approved the payment will be made directly to U.S. Bank.
  • This report should be referenced on the final expense report, after the trip is complete, by entering the report key from this report in the ‘Related Expense Report Key’ field.

Making Corporate Card Payments after the Trip

  • By utilizing the imported expenses feature, corporate card transactions can be easily added to an expense report. Once the expense report is fully approved the payment will be made directly to U.S. Bank.
